Effective for all rental agreements, quotes, invoices, and bookings.

By submitting a deposit, signing an invoice, or booking services with Cincy Backdrop Company LLC ("Company," "we," "us"), the client ("Client," "you") agrees to the following Terms & Conditions.

• A deposit of 50% of the total rental fee is required to secure the Client's event date and reserve the requested items. No date or item is guaranteed until the deposit is received.
• The remaining balance is due on the day of the event, prior to setup, unless otherwise agreed in writing.
• Accepted payment methods will be listed on the invoice. Late or unpaid balances may result in delayed setup or forfeiture of services.
• Prices quoted are valid for the specific event date and item list provided. Adding items or services after booking may incur additional charges and is subject to availability.

• Cancellations made less than 14 days prior to the event date will forfeit the full deposit.
• Rescheduling requests will be accommodated when possible, based on availability, but are not guaranteed. A rescheduling fee may apply.
• Events cancelled prior to 14 days prior to the event date are eligible for a full refund of the deposit.  

• Cincy Backdrop Company LLC will make every reasonable effort to accommodate the Client's specific setup instructions, layout preferences, and design requests as communicated prior to the event.
• However, final setup is subject to the actual conditions, restrictions, and requirements of the event venue or location (including but not limited to space limitations, flooring, ceiling height, electrical access, weather, and venue policies).
• If changes to the agreed-upon setup are required due to venue or location constraints, no refunds, partial or full, will be issued as a result of such changes.
• It is the Client's responsibility to confirm venue rules, dimensions, and any restrictions with the venue prior to booking and to relay accurate information to the Company.
• The Client must ensure a clear, accessible, and safe setup area is available at the agreed-upon arrival time. Delays caused by venue access issues may shorten setup time but will not reduce the total rental fee.

• Rental fees cover the agreed-upon event date and time window as specified on the invoice.
• Unless otherwise arranged, all rented items remain the property of Cincy Backdrop Company LLC and will be picked up/broken down by Company staff following the event. Client-led breakdown is not permitted unless explicitly agreed to in writing.
• Extended use beyond the agreed rental window must be approved in advance and may incur additional fees.

• The Client is responsible for all rented items from the time of setup until Company staff complete pickup/breakdown.
• In the event any rented item is damaged, soiled beyond normal cleaning, altered, lost, or not returned, the Client will be charged a damage/loss fee of up to three (3) times the rental fee of the affected item(s).
• The exact damage/loss fee amount will be determined at the sole discretion of Cincy Backdrop Company LLC, based on factors including but not limited to the extent of damage, repair or replacement cost, and item availability.
• Damage/loss fees will be invoiced separately and are due upon receipt.
• The Client agrees to take reasonable care to protect rented items from damage caused by weather, guests, vendors, candles/open flame, confetti, adhesives, food, or beverages, and understands that failure to do so may result in additional charges.
• Cincy Backdrop Company LLC is not responsible for any injury, accident, or property damage arising from the use of rented items during the event, except where caused by the Company's own negligence.

• The Client agrees to provide accurate event details, venue information, and timelines in advance of the event.
• Any changes to the guest count, layout, or item list must be communicated as soon as possible and are subject to availability and possible price adjustments.
• The Client is responsible for supervising rented items throughout the event, including managing guest interaction with décor and backdrops.

• For outdoor events, the Client assumes responsibility for weather-related risks. Cincy Backdrop Company LLC reserves the right to modify, relocate, or decline setup of items if weather conditions pose a risk of damage or safety concerns. This does not entitle the Client to a refund.

• Cincy Backdrop Company LLC is not liable for delays, damages, or inability to perform services due to circumstances beyond its reasonable control, including but not limited to severe weather, natural disasters, government restrictions, accidents, or vehicle/equipment failure. In such cases, the Company will work with the Client on rescheduling or alternative solutions where possible.

• Cincy Backdrop Company LLC reserves the right to photograph and use images of setups at Client events for portfolio, marketing, and social media purposes, unless the Client requests otherwise in writing prior to the event.

• In the rare case that a specific item becomes unavailable due to damage, loss, or unforeseen circumstances, Cincy Backdrop Company LLC reserves the right to substitute a comparable item of equal or greater value at no additional cost to the Client.

• Submission of a deposit constitutes acceptance of these Terms & Conditions in full.
